This Privacy Policy describes how Summit Flight Academy (“Summit Flight Academy,” “we,” “us,” or “our”) collects, uses, and protects information in connection with SFA Dispatch, our internal pre-flight dispatch application available at dispatch.mysfa.app(the “Service”).

SFA Dispatch is an operational tool for Summit Flight Academy staff, instructors, and pilots. It is not a consumer marketing service.

Information we collect

• Account & profile information obtained through your FlightCircle login (such as your name, role, and the aircraft and reservations you are authorized to access).
• Dispatch recordsyou create, including weather and maintenance acknowledgments, weight & balance entries, V-speed quiz results, and your typed signature.
• Contact information for notification recipients — including mobile phone numbers and email addresses — read from FlightCircle contact profiles and/or configured by an administrator.

How we use information

• To operate the dispatch checklist and produce the dispatch record (PDF).
• To send override notifications (by email and SMS text message) to the chief pilot, instructors, and other designated recipients when a dispatch proceeds with weather or maintenance criteria not met.
• To archive completed dispatch records for safety and recordkeeping.

SMS / text messaging

If you are a designated notification recipient, we use your mobile number to send transactional dispatch-override alerts. The following terms apply to our text messaging program:

• We do not share mobile information with third parties. No mobile phone numbers, SMS opt-in consent, or related text-messaging information will be sold, rented, or shared with any third parties or affiliates for marketing or promotional purposes. Mobile information is used solely to deliver the dispatch notifications described above.
• Message frequency. Message frequency varies and depends on dispatch activity. Texts are event-driven: you will only receive a message when a dispatch override occurs for which you are a configured recipient.
• Message and data rates may apply. Standard message and data rates from your mobile carrier may apply to messages you send or receive.
• Opt-out. You can opt out at any time by replying STOP to any text message; you will receive no further messages. Reply HELP for help. Opting out of texts does not remove you from email notifications.

How we share information

We do not sell your personal information. We share information only with service providers that help us operate the Service, and only as needed to provide it:

• FlightCircle — the system of record for reservations, aircraft, and contacts (read-only access).
• Twilio — to deliver SMS text notifications.
• Resend — to deliver email notifications.
• Google Drive — to archive completed dispatch PDFs in a private Summit Flight Academy folder.

As stated above, mobile information and text-messaging consent are never shared with third parties or affiliates for marketing or promotional purposes. We may also disclose information if required by law.

Data retention & security

We retain dispatch records and notification logs as long as needed for safety, operational, and recordkeeping purposes. We use reasonable administrative and technical safeguards to protect information, including encrypted transport and access controls. No method of transmission or storage is completely secure.

Your choices

You may opt out of text messages at any time (reply STOP). To update or remove your contact information, or to ask a question about this policy, contact us using the details below.

Changes to this policy

We may update this Privacy Policy from time to time. Changes are effective when posted on this page, and the effective date above will be updated.
